How an engagement begins
Share a brief description of your requirements. We review scope and acceptance, identify the information needed, and agree responsibilities and engagement terms before starting work.
Build a monthly process that another person can follow
Outsourced accounting should create an organised record of the business, not simply a set of entries completed near a deadline. The starting discussion should identify the entities, locations, accounting system, transaction volumes and reporting requirements. Our New Delhi practice can support agreed bookkeeping, reconciliations, payroll coordination and management reporting. The scope should distinguish routine processing, review, approval and advisory work. It should also identify the information the client must provide and the decisions that remain with management.
For a foreign-owned Indian operation, the monthly close may serve both Indian records and the overseas parent’s reporting timetable. The two teams should agree the chart of accounts, information format, closing dates and treatment of unresolved items. If group reporting uses a different presentation or currency, that requirement should be raised at the start. A reporting deadline does not remove the need for reliable underlying evidence. Missing invoices, unexplained balances and unapproved adjustments should be tracked openly rather than hidden in a completed monthly pack.
Connect payroll inputs, approvals and accounting
A payroll process depends on complete and approved employee data. Attendance, joining and exit information, variable pay, reimbursements and approved changes should have named owners. The engagement can define how inputs are received, how exceptions are raised and who approves the final payroll or payment file. Processing a calculation is different from approving employment terms or authorising a bank payment. These responsibilities should be stated clearly. Employment-law and establishment-specific questions may require a separate review or specialist coordination.
The accounting close should connect payroll, bank transactions, receivables, payables and statutory records to a consistent trial balance. Reconciliations need supporting schedules and explanations of old or unusual items. A recurring report can identify the status of each reconciliation and list decisions needed from management. Where GST, TDS or corporate compliance is included, the workflow should show how those workstreams receive information and return adjustments. Service coverage is agreed in writing; the presence of a calendar does not imply that every statutory obligation has been accepted.
Records and access to organise
Entity details, operating locations, chart of accounts and opening financial schedules.
Sales, purchase, expense, bank and cash records with supporting documents.
Customer and vendor masters, receivable and payable ageing, and intercompany information.
Approved employee master data, payroll inputs, attendance and change records.
The reporting calendar, approval matrix and contacts for clarifications and escalation.
Prior reconciliations, audit observations and known gaps in the books or systems.
Make management reporting useful
A management pack should answer the questions management needs to decide. Depending on the assignment, it may include a profit-and-loss view, cash position, receivables, payables and an exception summary. The pack should distinguish actual records, estimates and unresolved items. Comparisons need consistent periods and definitions. A short action list can be more useful than a large workbook with unexplained differences. Where budgeting, forecasting or finance leadership is required, Virtual CFO support can be considered as a separate advisory scope.
Control the handover and review cycle
Common gaps include incomplete opening balances, multiple versions of the same data, unapproved employee changes and adjustments that do not flow back into the accounting records. We recommend a documented monthly cut-off, a query log and a review checklist. Access should be limited to the work accepted and provided through agreed channels; general enquiries should not include system passwords. Related GST and corporate compliance assignments should use the same source records. The monthly reporting preparation article explains the information to organise.
How we scope and coordinate the work
An initial enquiry is used to understand the requirement, relevant jurisdictions and timing. The firm then considers engagement acceptance and identifies the information needed for a defined scope. Deliverables, client responsibilities, communication arrangements and fees are agreed separately before professional work begins. Where more than one service is required, the workstreams should share a consistent set of facts while keeping their responsibilities clear.
For a productive first discussion, explain the decision you need to make and any deadline already set by an authority, bank or group team. Identify records that are missing and advisers already involved. Do not send passwords, identity documents or confidential client files through a general enquiry. Once an engagement and information needs are agreed, the firm can coordinate an appropriate route for supporting records. Advice and timelines depend on the circumstances; a website guide does not create an engagement or guarantee an outcome.
Frequently asked questions
Can the firm support an overseas parent’s reporting pack?
An agreed accounting assignment can include coordination of Indian records and specified group reporting. Formats, deadlines, accounting assumptions and management approvals must be defined at the start.
Does payroll support include authorising employee payments?
Payroll processing and payment authorisation are different responsibilities. The engagement defines the firm’s work; management retains approvals, employment decisions and banking authority unless a separate lawful arrangement applies.
What is needed to take over recurring accounting?
Opening balances and schedules, source records, system information, the reporting timetable, approval responsibilities and a list of known issues. The initial review determines the handover work required.
